Main Focus Areas

The incumbent will be responsible for the co-ordination of all admin work in theatre Welcome the patient /visitors into the unit and greet and smile ensure that they are comfortable and inform the nursing staff to take over the patient. Direct traffic away from patient areas- direct visitors to a waiting area allocated. Explain the process in theatre to visitors. Manage with Dr meals and tea lounges (breakfast, lunch and afternoon tea) Supervise Hostess to manage a clean environment, crockery and cutlery.

Key Performance Areas: (include but are not limited to)

  • Ensure all theatre bookings for the next day is completed timeously and correctly as per timeline of the theatre SOP.
  • Update the Daily control of theatre bookings from doctors and their receptionists.
  • Communicate the theatre bookings after hours with the shift leader.
  • Daily communication between doctors and receptionist telephonically and electronically.
  • Keep patient’s family members informed about the patients in theatre.
  • Control rep access according to the theatre slate.
  • Capturing of theatre slates for each department MOT/COT / Cath Lab
  • Routine checks of emails from doctors and their rooms
  • Daily communicate with Radiographers and email for cases booked.
  • Compilation of theatre bookings slate daily emailed at 16H00 to all nursing departments.
  • All additions of elective procedures to be scheduled slates shall be brought to the theatre unit manger attention timeously.
  • Surgeons shall inform theatre bookings clerk and theatre unit manager in advance of their leave. Reallocation of the slate time discussed with unit manager.
  • Assisting with SAP for theatre users for patient information helping and assisting with lab results etc;
  • Capturing surgical safety audits
  • Capturing of BCA bundles and bluebird
  • Scheduling of the off duties
  • Sending of documents daily with tracking
  • Weekly FAD rounds with my building follow up on job requests and report to unit manager.
  • Complete and submit job cards for maintenance daily on my buildings.
  • Capturing Reports needed for department eg. BLS training, WSP training
  • Update the unit manager file with month end documents for capturing on nursing drive and balance score card. (compiling of Theatre Stats for MOT / COT / Cath Lab)
  • Compiling of radiation stats of Vascular Lab stats /Cath lab
  • Capturing reports/stats for Mr. Bechan e.g. stats on doctors needed, special stats
  • All stats for month end must be handed in by the 4th of every month.
  • Off duties to be sent to matrons’ office latest 25th of the month.
  • Stores orders for the different departments in theatre.

Post Requirements: (include but are not limited to)

  • Grade 12 or equivalent NQF Level 4 Qualification
  • 2-3 years’ experience in a secretarial position/Hospital experience
  • Computer Literacy
  • Flexible working hours
  • Stock management in a Healthcare environment essential
